App Navigation
TrakMiles Pro is a 6-in-1 business suite: Mileage tracking, Time Clock, Revenue, Expenses, P&L Reports, and Schedule C Tax preparation — all in one app.
You'll find these features across five main tabs at the bottom of your screen:
- Home — Dashboard with clock in/out, P&L overview, and customizable stat widgets
- Mileage — Trip history, GPS tracking controls, vehicle management (including Vehicle Auto-Detection)
- Time — Clock in/out history, time entries, shift management
- Finance — Revenue (Income) and Expense tracking with account balances
- Reports — Charts, analytics, P&L statements, Schedule C tax preparation, and export center
Every tab has a ⋮ menu (three dots) in the top-right corner. Tap it to find Help and Support in all four main screens: Dashboard, Mileage, Time, and Finance.
Tap the ✨ sparkle icon next to the clock card on the Dashboard, or find it in the ⋮ menu on any tab. The AI Assistant can answer questions about your real business data.
Vehicle Auto-Detection NEW
Vehicle Auto-Detection automatically identifies which vehicle you're driving so every trip is tagged to the right vehicle without you having to remember to switch. Added in v3.6.0, it solves the common multi-car problem: drive a work truck during the week and a personal car on weekends? Pair each one's Bluetooth once, and TrakMiles Pro tags every future trip to the correct vehicle.
The feature works in the background using three different mechanisms:
Method 1: Direct Bluetooth pairing. Open your Vehicle list, select a vehicle, and tap "Add Bluetooth Device" while connected to that vehicle's Bluetooth. The app remembers the device's encrypted fingerprint and auto-assigns that vehicle on every future connection.
Most car stereos work for pairing. So do OBD-II Bluetooth scanners, paired phone-to-car connections (some newer cars), and dedicated Bluetooth dongles. You can pair multiple devices to one vehicle, and you can pair multiple vehicles each with their own devices.
Method 2: Passive learning. If you don't manually pair a device, TrakMiles Pro still notices the Bluetooth devices connected during your trips. After the same unknown device appears on three trips, the app shows a friendly prompt: "We noticed you've used this device 3 times — assign it to a vehicle?"
Tap to assign it, and that device becomes auto-paired going forward. No setup, no remembering — the app learns from how you actually drive.
Method 3: One-tap mid-trip assignment. When a trip starts and an unknown Bluetooth device connects, a bottom sheet appears asking "Which vehicle is this?" Pick the vehicle from the list and tap "Remember for this trip" — the trip you're on now gets tagged, and you can optionally save the device for future trips too.
This is the fastest path when you get into a friend's or family member's car, or any vehicle you haven't formally paired yet.
Open Settings and find the Vehicle Auto-Detection toggle. When you turn it on for the first time, the app requests Bluetooth permission (required by Android to read connected device info). Tap Allow.
Once enabled, the feature works automatically. To pair specific vehicles, go to your Vehicle list, select a vehicle, and use "Add Bluetooth Device" while connected to that vehicle's Bluetooth.
Yes. Open Settings and toggle "Auto-detect vehicle from Bluetooth" off. Your trips will then use your default vehicle selection instead.
Turning it off doesn't delete your paired devices — they're preserved in case you want to re-enable the feature later.
Each vehicle has a Default Trip Purpose setting: Business, Personal, or "Ask each trip". When Vehicle Auto-Detection identifies the vehicle, the trip is automatically tagged with that purpose.
This is especially powerful for multi-vehicle drivers: set your work truck's default to "Business" and your personal car's default to "Personal" — every auto-detected trip is correctly categorized before you even look at it. Choose "Ask each trip" if you want to be prompted to confirm the purpose for that vehicle.
Yes. TrakMiles Pro stores only an encrypted SHA-256 fingerprint of each paired Bluetooth device's MAC address — never the actual address. The fingerprint is stored locally on your device and never sent to any server. We can't identify your specific Bluetooth devices; the app just knows whether the device connecting now matches one you previously paired.
If auto-detection doesn't seem to be working, check these:
- Bluetooth permission granted? Settings → Vehicle Auto-Detection → confirm permission is allowed
- Vehicle Auto-Detection toggle on? Same screen in Settings
- Bluetooth device paired to a vehicle? Open the Vehicle list → tap a vehicle → check if any Bluetooth devices are listed. If empty, pair one
- Bluetooth active in the car? Make sure your phone is connected to the car's Bluetooth — confirm in Android Settings > Bluetooth
- App fresh start? Force-close and reopen TrakMiles Pro after enabling Bluetooth in your car — the app seeds connection state on cold start

Dashboard & Widgets
The Dashboard has four views: Main (home icon), Weekly, Monthly, and Yearly. Tap the selector below the clock card to switch. Each view has its own set of customizable widgets showing different time periods.
The P&L Overview is the hero widget at the top of your dashboard. It shows your Net Profit (income minus expenses) with green/red progress bars and a percentage change indicator. It updates based on your selected period (Weekly, Monthly, Yearly).
Tap "Tap for detailed P&L Statement →" to jump directly to your full Profit & Loss report filtered to that same period.
Tap the ⚙️ gear icon in the bottom-right corner. Widgets are organized into categories — tap a category to expand it, then check or uncheck widgets to show/hide them. Tap "Save" to apply.
25+ widgets available including: Miles Today/Week/Month, Earnings, Avg $/Hour, Avg $/Mile, Tips, Expenses, Profit, Tax Deduction, Utilization, and more.
Utilization shows what percentage of your clocked-in time you spent actively driving. It only counts driving time that occurs while you're clocked in — driving without clocking in doesn't count toward utilization.
This helps you understand how efficiently you're using your work hours. Higher utilization means more time on the road earning money.
Most widgets include a daily bar chart showing Mon-Sun data. The green bar highlights the best day, while orange bars show other days. The best day's value is called out above the chart.
Revenue & Earnings
Go to Finance tab → Income tab → Add Revenue. Select a payor (Uber, Lyft, etc.), enter the amount, add tips if applicable, choose a deposit account, and save.
Revenue entries automatically create double-entry journal entries in your accounting system.
When adding revenue, there's a separate Tips field below the Amount field. Tips are tracked separately for reporting but included in your total earnings. The Revenue by Payor report shows base revenue vs tips for each payor.
Finance tab → Income → Manage Payors. Add payors like Uber, Lyft, DoorDash, or any client. You can also create new payors on-the-fly while adding revenue.
The blue gradient banner at the top of the Finance screen cycles through your account balances — bank accounts, credit cards, savings, and net position. Tap "Summary" to see all accounts at once. Balances update automatically from your journal entries.
Finance tab → ⋮ menu → Banks, Cash & Credit Cards. Add your checking accounts, credit cards, and cash accounts. These appear as deposit options when adding revenue and are tracked in your accounting system.
Expense Management
Go to Finance tab → Expenses tab → Add Expense. Select or create a vendor, choose an IRS Schedule C category (like "Car & Truck Expenses" or "Office Expenses"), enter the amount, date, and optional description. Tap the camera icon to photograph a receipt — OCR automatically fills in the vendor and amount.
Split expenses let you divide one receipt across multiple categories. For example, a Costco trip might be $50 office supplies + $30 snacks. Enter the total, add lines for each category, and the last line auto-calculates the remainder.
Finance tab → Expenses → Manage Vendors. Add vendors with name, category, and optional address. You can also create new vendors on-the-fly while adding an expense.
Business expenses are tax-deductible and map to Schedule C categories. Personal expenses are tracked for budgeting but don't appear on your Schedule C. Your P&L statement shows both — business profit first, then personal expenses, giving you a complete financial picture.
When you photograph a receipt while adding an expense, TrakMiles Pro automatically scans it using on-device text recognition (ML Kit).
- Auto-detects vendor name, total amount, and date
- Matches vendors to your existing vendor list — high-confidence matches auto-select, low-confidence opens the vendor picker with the name pre-filled
- Three detection strategies — receipt-from patterns, address block detection, and largest text analysis
- On-device processing — no data sent to external servers
Time Tracking
Tap the ▶ play button in the clock card on the Dashboard to clock in. When done, tap the ■ stop button to clock out. Your time entries are saved automatically and visible in the Time tab.
Tap the Time tab at the bottom. Entries are grouped by month with collapsible sections. Tap a month to expand, then tap a day to see individual entries with clock in/out times, break time, and net duration.
If you start driving without clocking in, TrakMiles Pro will send you a reminder notification with a one-tap "Clock In" button. You can also manually add or edit time entries in the Time tab.
Notifications & Widget
Long-press on an empty area of your home screen → tap Widgets → find TrakMiles Pro → drag it to your screen. The widget shows today's miles, tracking status, and lets you start/stop trips or clock in/out without opening the app.
Yes! TrakMiles Pro shows persistent notifications for both mileage and time tracking. You can start, pause, and stop trips, plus clock in and out directly from the notification shade without opening the app.
Mileage Tracking
Auto Mode automatically detects when you start driving and begins tracking within 10-30 seconds. When you stop, the trip saves automatically.
Manual Mode lets you control exactly when tracking starts and stops by tapping Start/Stop buttons.
TrakMiles Pro uses high-accuracy GPS with intelligent filtering to remove GPS drift and noise. Accuracy is typically within 1-2% of actual distance driven. The app also stitches GPS gaps that occur in tunnels or urban canyons.
Filtering Trips
In the Mileage tab, tap the filter icon at the top. You can filter by date range, vehicle, and purpose (Business, Personal, Other, All). Filters apply to the trip list and any exports.
Trip Management
In the Mileage tab, tap any trip → tap the ✏️ edit icon. You can change the purpose (Business/Personal), vehicle, distance, start/end locations, and add notes.
Yes! Mileage tab → + button → enter start/end locations, distance, date, time, purpose, and vehicle. Great for logging trips you forgot to track.
Swipe left on a trip in the Mileage tab, or tap a trip to open details → tap the 🗑️ delete icon. Deleted trips cannot be recovered unless you restore from a backup.
Reports & Analytics
TrakMiles Pro includes six report suites accessible from the Reports tab:
- Mileage Charts & Analytics — Trip trends, distance breakdowns, driving patterns
- Revenue Reports — Earnings trends, payor breakdowns, income analysis
- Expense Reports — Spending trends, category breakdowns, vendor analysis
- Time Clock Reports — Hours worked, shift patterns, clock-in trends
- Profit & Loss Analytics — P&L statement with interactive charts and trends
- Balance Sheet — Assets, liabilities, and equity overview
Tap any bar in a chart to see a dark tooltip showing the exact value, period, and details. Tap the X to dismiss, or tap another bar to compare. Available on Profit Trend, Revenue by Payor, and Expense by Vendor charts.
Performance Comparison lets you compare any two periods side-by-side — last week vs this week, January vs February, Q1 vs Q2, or any custom combination. See differences in revenue, expenses, profit, miles, and hours with percentage changes.
Revenue by Payor breaks down your income by each payor (Uber, Lyft, etc.) with weekly/monthly/yearly trend charts showing tips vs base revenue.
Expense by Vendor shows your spending by vendor with trend charts and category breakdowns, helping you identify where your money goes.
Tax, Reports & Export Center
The Schedule C Helper maps your revenue and expense data directly to IRS Schedule C line items. It shows Part I (Gross Income) with your income sources and Part II (Expenses) organized by IRS categories.
For Line 9 (Car & Truck Expenses), it compares Standard Mileage Rate vs Actual Auto Expenses and marks the better option with a green "BETTER" badge, so you always take the larger deduction.
The Quarterly Tax Estimator calculates your self-employment (SE) tax at 15.3% based on your net profit. It shows YTD summary, annual projection, and four quarterly payment cards with color-coded status badges (Paid, Due Soon, Upcoming) and IRS due dates.
Four professional PDF reports are available:
- Profit & Loss Statement — Full income and expense breakdown
- Schedule C Summary — IRS-ready tax category report
- IRS Mileage Log — With beginning/ending odometer readings per IRS requirements
- Expense Summary — Detailed expense breakdown by category and vendor
Go to Reports → Tax, Reports & Export Center → CSV Export. Four CSV types are available: Trips, Revenue, Expenses, and Time Entries. Use "Export All" to send all four files at once to your accountant via email or any sharing app.
Go to the Reports tab and scroll down past the Quick Actions to the "Tax, Reports & Export Center" section. You'll find four cards: Schedule C Helper, Quarterly Tax Estimator, PDF Reports, and CSV Export.
AI Assistant
The TrakMiles Pro Assistant answers questions about your real business data. Ask things like:
- "How much did I earn this week?"
- "What are my top expenses?"
- "How many miles did I drive last month?"
- "What's my average $/hour?"
It also has a 40-topic knowledge base about app features and a guided setup walkthrough for new users.
Yes! Tap the 🎤 microphone icon in the chat input to speak your question. The pulsing mic shows it's listening, and you'll see live transcription as you speak. It auto-stops when you pause.
Backup & Restore
TrakMiles Pro backs up all your data to your Google Drive: trips, GPS track points, vehicles, time entries, revenue entries, expense entries, vendors, payors, bank accounts, journal entries, addresses, receipt images, dashboard preferences, settings, and company membership state.
Go to Dashboard → ⋮ menu → "Backup & Restore". Set backups to run Daily, Weekly, or Monthly.
Dashboard → ⋮ menu → "Backup & Restore" → select a backup → choose Replace (overwrite all data) or Merge (add to existing). All trips, revenue, expenses, vendors, time entries, and account data will be restored.
Yes! Data is stored on your device and backed up to your personal Google Drive. TrakMiles Pro can only access its own folder, cannot see your other files, data is encrypted in transit, and only you have access. We never sell or share your data.
Company / Team View
Company View merges data from multiple TrakMiles Pro users into one combined view. Perfect for couples, delivery teams, or small businesses.
- Combined P&L with per-member breakdowns
- Merged revenue, expenses, and mileage reports
- Trip history with GPS route maps for all members
- Charts comparing members side-by-side
- Create entries using any member's accounts
All data syncs through Google Drive — no third-party servers. Each member keeps their own local database.
Create: Dashboard → ⋮ menu → Company → enter a name → "Create Company". A shared folder is created on your Google Drive.
Invite: Enter the member's email on the Company screen → "Send Invite". They receive an invite code via email. The member opens TrakMiles Pro → Company → "Join" → pastes the code.
Both members must grant Google Drive permission for cross-account sync (a one-time prompt).
Each member's phone syncs independently on a configurable schedule (1, 2, 4, 8, 12, or 24 hours):
- Import — pull any company entries targeting you
- Backup — create a backup of your local data
- Compress — simplify GPS track points (95% smaller) for route display
- Push — upload to your subfolder on Google Drive
A sync status indicator (green/yellow/red dot) in Company Reports shows sync health and time since last sync.
Reports tab → Company Reports (Combined View). Tabs for Combined and each member. Sub-tabs: Summary (P&L, metrics), Charts (revenue, expenses, profit trends), and Trips (daily collapsible headers).
Route maps: In the Trips tab, trip cards with a blue map icon have GPS route data. Tap to open a full-screen map with the route, start/end markers, distance, duration, and addresses.
In Company Reports, tap the blue + button → select Expense or Revenue → tap the member. The full entry screen opens with that member's bank accounts, credit cards, expense categories, and vendors. Fill it out and save.
Self-targeted entries save immediately. Entries for other members push to Drive and import on their next sync. Vendors and payors are matched by name or created automatically.
Note: Only Owner and Manager roles can add entries for other members. Drivers and Limited users won't see the + button.
Shared accounts are bank accounts or credit cards used by multiple members — like a company credit card or joint checking account.
To set up: Finance tab → Chart of Accounts (top right icon) → tap the green people icon on any bank or credit card account to mark it as shared.
Once shared, any expense or transfer on that account automatically syncs to all members' phones so balances stay in sync. The account name must match on all members' phones.
TrakMiles Pro has four roles that control what each member can see and do:
- Owner — Full access. Manages company, assigns roles, views all reports, controls sync settings.
- Manager — Views all member reports (Combined + individual), creates company entries, manages shared accounts.
- Driver — Syncs own data, views only their own reports tab. Cannot see other members' data.
- Limited — View-only access to their own data. Cannot create entries or manage anything.
To assign: Only the Owner can change roles. Go to Company Setup → tap the pencil icon next to a member → choose a role from the dropdown. Changes sync to the member's phone automatically.
Open Reports → Company Reports → tap "View Balance Sheet" (teal bar below the hero card).
The balance sheet shows:
- Bank & Savings Accounts — each account with balance, per-member breakdown for shared accounts
- Credit Cards & Liabilities — outstanding balances per account
- Net Position — total assets minus total liabilities
Shared accounts display each member's balance separately since they may differ due to unsynced deposits or revenue entries.
In Company Reports, expand any revenue or expense category → tap on an individual entry. A detail dialog shows:
- Amount, date, vendor, and description
- Which member created the entry
- Payment account and method (e.g., "Capital One 360 — Credit Card")
- Receipt image if attached
Tap a receipt thumbnail to open it full-screen with pinch-to-zoom and double-tap to zoom. Tap anywhere to close.
Settings & Account
Mileage tab → ⋮ menu → "Settings" → "Distance Unit" → select Miles or Kilometers. All distances update app-wide.
Mileage tab → ⋮ menu → "My Vehicles". Add with the + button (year, make, model, odometer). Tap a vehicle to edit, set as default, or delete. The default vehicle is assigned to new trips automatically.
The Chart of Accounts organizes your financial data into three sections: Income/Revenue (with your payors), Business Expenses (Schedule C categories), and Personal Expenses. Access it from Finance → ⋮ menu → Chart of Accounts. You can add custom categories, hide unused ones, and manage sub-accounts.
Troubleshooting
Check these settings:
- Location Permission — Must be "Allow all the time" (Phone Settings → Apps → TrakMiles Pro → Permissions → Location)
- Battery Optimization — Exclude TrakMiles Pro (Phone Settings → Battery → Don't optimize)
- Activity Recognition — Allow physical activity detection
- Background App Restrictions — Check for "sleeping apps" in battery settings
Try increasing the auto-stop time (Mileage → ⋮ → Settings → Auto-stop time → 5-10 minutes). Also check GPS signal quality and battery optimization settings.
Revenue/Expense widgets empty? Add entries on the Finance tab. Check the period selector — you may be viewing a period with no entries.
Time widgets empty? Clock in and out from the Dashboard to generate time data.
Utilization at 0%? Needs both clocked time AND recorded trips. Clock in before you start driving — only driving during clocked-in periods counts.
Averages seem wrong? Averages are based on worked days only, not calendar days.
1. Check filters — You may have a filter hiding trips. Go to Mileage → filter icon → set all to "All".
2. Restore from backup — Dashboard → ⋮ → Backup & Restore → select a recent backup.
3. Check Google Drive — Look for the "TrakMiles" folder in your Google Drive app.

Open the Google Play Store → tap your profile icon → "Payments & Subscriptions" → "Subscriptions" → find TrakMiles Pro → tap "Cancel".
After canceling, you retain access until the end of your billing period. Your data remains on your device and in Google Drive backups.
Go to the Reports tab and use the Export Center to export your data as CSV or PDF — mileage logs, revenue, expenses, P&L statements, and Schedule C summaries. Send the exports to your accountant or save them for your records.
For a full database backup, use Settings → Backup & Restore to save an encrypted backup file to Google Drive or local storage.
